Overview
The Sage BusinessWorks Payroll module is powerful enough, yet simple enough to use to enable you to keep your payroll processing tasks in house, saving your company money. The Payroll module offers an extensive database of employee information, federal tax tables and tax tables for all 50 states plus the District of Columbia, and accurate W2 reporting. Informative help screens answer common questions, and insightful reports ensure the data you require is at your fingertips.

Operational Flexibility
Generous Field Sizes
Add and maintain up to 10,000 employees using a 12-character employee number plus an additional 3-digit department number. Up to 40 entries on each time card can be added, using 23 earnings types, 50,000 pay types, and 30 deductions.
Overtime/Shift Differentials
Setup 6 shift differentials and 3 overtime factors to be added to the hourly rate of time card entries referencing an overtime or shift differential code.
History Retention
Maintain payroll data and view historical reports for 2 to 5 years.
Vacation, Sick Leave and Comp Time Accrual
Set limits on the number of hours to be accrued, and whether benefits accrue on overtime, sick pay, and vacation pay.
Department Posting
Elect to post employee deductions to the general ledger by department.
Deductions
Flexible deduction calculation methods such as an amount per pay period, an amount per hour, a percentage of gross, a percentage of net, etc. make it simple to create customized benefit such as fringe packages and 401(k) plans to fit each organization. You set the limits, decide if it’s taxable, and determine the posting account.
Standard Rates
Setup standard hourly you pay employees, such as one rate for all clerical personnel, a rate for all sales help, etc. Standard rates simplify the task of changing employees' pay across the board since a single change in the standard will automatically affect each employee assigned the standard rate.
Model Employee
Simplify the setup of new employees by designating a typical employee as a model. General information is copied from the model employee to each newly added employee.
Data Entry Features
Time Card Entry
Use this option to record the hours worked by employees who are paid different amounts each pay period.
Standard Time Card Entry
Establish a standard time card for each employee who regularly works the same hours, or is paid the same amount. During Time Card Entry, the standard time card for an employee may be recalled, and any necessary changes for the current pay period can be made.
Automatic Payroll Calculation
After all time card data is entered, use the automatic payroll calculation function to automatically calculate all appropriate taxes, deductions and other pays. Select a range of employees and departments for processing, and select a specific pay period and pay type, or elect to include all.
Handchecks
Use handchecks to record a handwritten check, cash, or any method of payment to an employee other than a paycheck generated by Print Payroll Checks. You can use a handcheck when you need to write a check to an employee or give cash to an employee and the computer is not available (after-the-fact payroll).

Use this option to make global changes to selected employees, including status, pay rates, shifts, etc.
Maintain Tax Tables
BusinessWorks comes with the most current tax information available. However, you have the ability to manually maintain federal and state tax tables, allowances, limits, and rates should you require this ability.
Import Employee Time Cards
Import data from another database into BusinessWorks Payroll, saving time and data entry errors.

Integration Between Modules
Sage BusinessWorks Payroll integrates seamlessly with the General Ledger and Job Cost modules.

Job Cost Integration
You may enter a Job ID, Phase ID, and Task Code in Time Card Entry to post each time card line item to. The information you enter posts as a detail charge to the phase in Job Cost. The actual posting to Job Cost occurs when you print the payroll check. You can add an employee’s company-paid payroll deductions or taxes to the overhead of a job if you choose.

Use the standard form or customize the form to suit your company’s requirements.
Direct Deposit Stubs
Produce a zero dollar check and stub for those employees who participate in the direct deposit of their paycheck.
W2’s
Produce yearly W2’s for each employee.

View detailed check history for an employee from the Time Card Entry and Employee Inquiry screens.
Task Code History
Monthly, quarterly, and yearly wage and hour totals are stored by task code and viewable from the Maintain Task Code option.

Employee Inquiry
From Employee Inquiry you can review check and stub information for any payroll checks still on file. Drill down to see each line of check detail.
Deduction History
View month-to-date, quarter-to-date, and year-to-date amounts and hours for each deduction, summarized for all employees. You may also individually view each employee’s totals from the Maintain Employees option.
Pay History
View month-to-date, quarter-to-date, and year-to-date amounts and hours for each pay type, summarized for all employees. You may also individually view each employee’s totals from the Maintain Employees option.
Rich Feature Set
Direct Deposit
Electronically transmit payroll data directly to your employees bank in the standard NACHA file format, or the NPC format.
Void Checks
Void any checks, including hand-written checks or system-generated checks, in the current or previous quarter. Voided checks are listed on the Check Register as "Voided."
Piece Rates
Piece rate schedules are flexible enabling you to set up different rates for different units completed, and pay a base rate plus piece rate, if needed.
Task Codes
Task Codes/Job classifications are used for tracking hours worked on specific tasks or on specific types of work. They are also useful in job costing. When employees put in hours on a task, the hours and wages connected to their task codes are tallied and made available for historical analysis. Expense and tax account numbers are specified by Task Code, as is the Worker’s Comp Code.
Commissions
Set up flexible commission structures, using different percentages for different sales amounts, and pay a base rate plus percentage of sales, if needed. You can assign commission rates to employees during Time Card Entry and BusinessWorks updates commission totals when payroll checks are printed.
Powerful Search Options
Search options include many variables to aid in quickly locating the desired data.
Employee Hold
You may place an employee on Hold to prevent a paycheck from being automatically generated. Release the hold simply when appropriate.
Minimum Wage Makeup
For tipped employees whose wage and recorded tips do not reach the minimum wage for the hours worked, Sage BusinessWorks will add an adjustment to the employee’s paycheck.
Hire Date, Last Review Date, Next Review Date, Termination Date
Date fields stored for each employee let you maintain important information about employment status and are useful reporting tools.
Custom Fields
Maintain up to five custom fields for each employee. This data appears on the Employee List and can be included on Custom Reports, Custom Exports, Custom Worksheets, and Custom Forms. You can also filter Payroll reports on information in these fields.
Employee Picture
Store an electronic image of each employee and access it easily from a Picture button on the Maintain Employees screen.
Status Display
A single screen displays important status information such as: Current Month, Number of Employees, number of active states, tax deposits due, etc. A handy way to review setup information.
DE 6 Reporting
If your state participates in the combined federal/state magnetic media filing program, you can use this option to create a file of quarterly DE 6 information to submit to your state government on magnetic media.
Calendar
Each date field offers a handy calendar icon to help you select the exact date you’re after.
Attachments
Use the Attachment Manager to link or embed OLE files, such as bitmaps, text documents, and spreadsheets, in BusinessWorks records, such as accounts, vendors, customers, employees, parts, and jobs. The attachments you create appear in a list in the Attachment Manager window, and the title bar identifies the record to which they are attached.
Instant Correspondence
Use Instant Correspondence to merge BusinessWorks information for an employee into a Microsoft Word document when you click the Instant Correspondence button.
Electronic Manuals
Manuals are available in electronic PDF format for quick reference anytime.
Notes
Lengthy text notes may be added, maintained, and viewed for each employee. The Notes button appears in bold when a note is on file.
Report Groups
Use this option to place reports into groups so that you can quickly and easily print multiple reports at one time. Report groups are particularly useful for creating a series of reports with specific setups that you print on a regular basis, such as month-end close reports.

Sage BusinessWorks uses your data to produce a wide range of reports including graphical reports, which present you with three-dimensional representations of your account balances and much more.

This report lists complete information on the earnings, deductions, and taxes that were calculated the last time you performed payroll calculations. Use it to verify that the payroll has been calculated properly before you print checks.

This report is identical in format to the check register that you can produce upon completion of check printing.
Employee Earnings Report

Summarizes quarter-to-date and year-to-date gross pay by employee. Use this report for retirement or pension plan reporting, government reports, profit sharing plans, etc.
Employee History Report

This report lists all checks on file for an employee and includes: check number, date, gross pay, net pay, and tax detail.
Use this worksheet to help you gather time card information for your employees so data entry will go more quickly.
Tax Deposit Register

Use this option to produce a register of your payroll tax deposits for the last quarter of the previous year, all quarters of the current year, or any month.
Employee Overtime Report

Task Code Period Activity Report
